NextIQ Privacy Policy

When you use NextIQ to scan a business card, the application may process the following information contained on that card:

• Name
• Company name
• Job title or designation
• Phone number
• Email address
• Website
• Address
• Social media or other contact information
• Any other business information displayed on the scanned card

The scanned business card image is stored in two places: on the customer's own ERPNext site and on NextIQ's central server. Currently, there is no automatic deletion of the scanned image from either location.

The information you capture in NextIQ through business card scans remains yours. We do not access or use your data during normal operations. We step in only when necessary to troubleshoot issues, such as failed scans or data extraction errors. Otherwise, your data stays yours, private and secure.

The information extracted from the business card is used to create a lead in ERPNext.

NextIQ processes information to deliver its core functionality, support service delivery, plan system capacity, troubleshoot issues, and improve the platform's performance, reliability, and ability to provide efficient services, including:

• Scanning business cards
• Extracting information using AI technology
• Creating lead or contact records in ERPNext
• Helping sales teams organize and manage captured information
• Supporting the conversion and follow-up of leads within ERPNext

NextIQ does not use your business data for unrelated purposes.

The business information processed through NextIQ remains your data.

We do not sell, rent, or trade your business information to third parties.

We take reasonable technical and organizational measures to protect information processed through NextIQ from unauthorized access, use, alteration, disclosure, or loss.

Customers are also responsible for maintaining appropriate security for their ERPNext environment, user accounts, passwords, access permissions, and hosting infrastructure.

NextIQ uses third-party AI service providers to process information and deliver its end-to-end functionality. Where necessary, relevant data may be shared with these providers for processing to support the application's features and services.

NextIQ uses artificial intelligence technology to recognize and extract information from business cards.

NextIQ uses a third-party AI service, Google Gemini, to process scanned business card information and voice recordings.

The AI functionality is used solely to make the process of capturing business-card information faster and more accurate for sales teams.

NextIQ does not use customer business-card information to build, train, or improve AI models for purposes unrelated to providing the NextIQ service.

NextIQ uses third-party AI service providers to process data and deliver its end-to-end functionality. Relevant data may be shared with these providers when necessary to process information and enable NextIQ's features and services.

We do not sell or commercially distribute information processed through NextIQ.

Information may only be processed or disclosed when necessary to:

• Provide and maintain NextIQ, including any third-party AI processing service used to power business-card extraction
• Meet legal or regulatory requirements
• Protect the security and rights of NextIQ, our customers, or users
• Address technical or security issues

Any third-party service used to provide NextIQ functionality will be held to privacy and data-protection obligations consistent with this Policy and applicable law.

Information captured through NextIQ, including scanned business card images and extracted data, is currently retained indefinitely on NextIQ's central server. We retain usage data and the necessary information required to maintain the Card Scan service and provide customer support.

We do not use transaction data processed to deliver the service for purposes unrelated to its intended functionality.

Scanned card images, where temporarily processed, are retained only for as long as necessary to complete data extraction and are not kept beyond that unless the customer's configuration specifies otherwise.

Customers are responsible for managing their ERPNext records, including modification or deletion of information where appropriate.

NextIQ processes this information in two places: within the customer's own ERPNext environment, and on NextIQ's own servers as part of providing the service. Requests relating to information held in a customer's ERPNext instance should be directed to that customer, who controls that record. Requests relating to information NextIQ holds directly on its own servers may be sent to us using the contact details in the Contact Us section below, and we will act on valid requests in accordance with applicable law.

Requests relating to information already stored in a customer's ERPNext instance should be directed to that customer (the data controller), since NextIQ does not independently control customer ERPNext records. Requests relating to NextIQ's own processing activities may be directed to us using the contact details in Section 13.

NextIQ's server-side deployment is hosted in a data centre in Germany, where all data is stored.

NextIQ does not publish or make your data available on any public platform. Your data remains yours and is kept private. It is shared only with the designated target section configured for your account, which is your own ERPNext instance.

Customers using NextIQ are responsible for ensuring that they have the appropriate rights and permissions to collect and process the information they enter or scan using NextIQ.

Customers should also ensure that their use of NextIQ complies with applicable privacy and data-protection laws, including obtaining any consents required from individuals whose business cards are scanned.

When you visit the NextIQ website or contact us, we may collect information that you voluntarily provide.

This information may be used to respond to enquiries, provide demonstrations, communicate with you, and improve our services.

Our website may use cookies or similar technologies to improve website functionality, understand website usage, and improve your experience. You may be able to control or disable cookies through your browser settings.
